An Easy Visa Limited ("An Easy Visa" or "we") wants to ensure that our clients, employees and any affected data subjects ("you") are informed about the security and use of the personal information that we receive and process on your behalf. We are committed to continual improvement of our privacy programme, standards and compliance, both locally and globally.
This Privacy Notice describes the types of personal information we collect, how we may use that information, with whom it may be shared, and the measures taken to ensure its security. It also explains how to contact us to exercise your rights, including objecting to certain processing, or accessing, correcting or deleting your personal information.
In some instances we are engaged directly by corporations or business groups, which results in the processing of employee information at their request. Where we refer to "employer" below, it is in these circumstances. You may at any time address concerns directly to your employer where applicable.
Who we are
The data controller of your personal information is An Easy Visa Limited, company number 06491114, WeWork, 125 Kingsway, London, WC2B 6NH. You can contact us at info@aneasyvisa.com or on 0207 193 1996.
Personal information we collect
An Easy Visa collects certain personal information about you and, if required, your family members and employer for the purposes of providing immigration consulting and legal services. We will not be able to provide the services requested if we are not provided with all relevant personal information.
For client services we may collect and process information such as name, address, telephone number, date of birth, marital status, passport number, employment history, educational background, tax status, employee number, job title and function, and expatriate status. Where required, we collect documents such as passport copies, educational documents, CVs, visa copies, birth certificates and other supporting materials.
We obtain personal information from forms you complete, email or conversations with our consultants and staff, and from third-party sources such as former employers, educational institutions, relocation companies, and your current or prospective employer.
How we use your information
We use this information to provide immigration consulting services, including analysing, completing and processing immigration, visa and related filings and submissions to relevant government agencies, providing advice on eligibility, and assisting with relocation and related matters.
We also process personal information to comply with legal and regulatory obligations, including record-keeping, know-your-customer, anti-money laundering, anti-bribery and professional regulations. Where it is in our legitimate interests and not outweighed by your data protection rights, we may use information for client and firm administration, compliance audits, IT security and ensuring our systems function effectively.
We will never sell your personal information. Your personal information is only shared with third parties where needed to provide the services requested.
Sensitive personal information
Governments may require sensitive personal information for immigration benefits. An Easy Visa collects sensitive personal information when submission of such data is necessary to comply with the legal obligations of the country in which you are seeking a visa or work permit, or to advise on eligibility. In some cases we will ask for your explicit consent.
Where immigration authorities require sensitive information that you may not want shared with your employer, we have processes in place to protect that information.
Legal bases for processing
An Easy Visa relies on one or more of the following legal bases: consent; processing necessary for the performance of a contract to which you are a party; and/or processing necessary for compliance with a legal obligation to which we are subject (including government requirements regarding immigration services).
Information we share
We will not sell, share, transfer, rent, use or distribute your information for purposes other than those disclosed here unless required by law or authorised by you or your employer. We may share information among our affiliates, with your employer as instructed, with government agencies and immigration authorities, and with service providers such as translators, education evaluation services and couriers who are authorised to use the information only as necessary to perform services on our behalf.
We may also disclose information if required by law or legal process, to law enforcement or government officials, to prevent physical harm or financial loss in connection with suspected illegal activity, or to protect the vital interests of any person.
How we protect and retain information
We maintain appropriate administrative, technical, organisational and physical safeguards against loss, misuse or unauthorised access, disclosure, alteration or destruction of personal information. We educate our employees and require third parties who assist us to abide by applicable privacy and data protection laws.
An Easy Visa has a seven-year post case-closure retention policy, unless there is a regulatory or legal reason not to do so, or where a different period must be observed due to local requirements. After that, we take steps to delete or anonymise the information.
Your choices and rights
Depending on applicable law, you may have rights to access, correct, delete or restrict processing of your personal information, to receive a copy in a structured machine-readable format, to withdraw consent where we rely on it, and to object to processing based on legitimate interests. You may also complain to a data protection authority where you reside, work, or where you believe an infringement has occurred.
To exercise these rights, contact your employer or An Easy Visa as applicable at info@aneasyvisa.com. We may request a copy of a government-issued identification document to verify your identity before responding.
Minors
We attach great importance to protecting the personal information of minors. We will not collect personal information of minors directly from them. If you request services relating to minors under your guardianship, we need your consent before we can collect and use that information.
Website, cookies and updates
When you use our website we may collect non-personal technical information and, where you provide it, personal information such as contact details submitted via forms. We and our trusted partners may use cookies and similar technologies to operate the site, understand usage and improve our services. You can control cookies through your browser settings.
We may update this Privacy Notice from time to time. Material changes will be effective when the revised notice is published on this website. If you have questions about this notice or how we use your information, contact us at info@aneasyvisa.com or WeWork, 125 Kingsway, London, WC2B 6NH.
